Family Email Archive — Terms of Service
Effective date: 20 October 2026
1. Purpose and eligibility
Family Email Archive is a private, invitation-only service for its operator and invited close family members. It provides independent email backup, search and retrieval.
It is administered through davey@onelifecoachingme.com and is provided without a service fee. It is not a public commercial email service or a Google product.
Use the application only if you have been invited and have authority to connect the relevant email account. A parent or guardian must arrange and supervise participation where required by applicable law or the account provider’s rules.
2. Authorization and permitted use
You authorize the application to access the Google data described on its consent screen and in its Privacy Policy for the purpose of operating your archive. Gmail access is read-only.
You remain responsible for your Google account and archive login credentials.
You must not:
Connect accounts you are not authorized to manage.
Share archive access without permission.
Bypass access controls.
Use the application unlawfully.
3. Your data and archive access
You retain your existing rights in your messages and other data. You grant the operator permission to copy, store, index, back up and retrieve that data only as needed to provide and secure the archive and handle your instructions.
Administrator and auditor accounts may technically access messages from multiple connected accounts. Access is governed by the Privacy Policy; connecting an account does not grant blanket permission for unrelated human reading.
Discuss the access arrangement with the operator before connecting an account if you require separate mailbox privacy.
4. Independent copies and retention
The archive is designed to keep messages after they are deleted from Gmail.
Deleting source mail or revoking Google authorization does not remove downloaded messages, Piler archive copies or recovery snapshots. Stored copies have no automatic expiry.
Contact the operator to request export or deletion, including discussion of recovery copies, as described in the Privacy Policy.
5. Service limitations
Backups run periodically and depend on Google authorization, API limits, connectivity, available storage, and functioning software and hardware.
A message permanently deleted before a successful download may never be captured. Spam, Trash, drafts and chats are normally excluded. Initial downloads may take time, and interruptions or expired authorization can delay further archiving.
This service does not guarantee that every message will be captured, that recovery will always succeed, or that access will be uninterrupted.
Maintain other copies of information you cannot afford to lose. The application is not provided as a certified legal-retention, compliance or disaster-recovery service.
6. Changes, suspension and ending participation
You may stop future Gmail access by revoking the application’s authorization in your Google Account.
Contact the operator to stop scheduled backups or remove existing copies.
The operator may change, suspend or discontinue the service for maintenance, security, capacity or other operational reasons and will give reasonable notice where practical.
Ending participation does not automatically delete retained data.
7. Availability and responsibility
The service is provided on an “as available” basis without a contractual uptime or completeness guarantee.
To the extent permitted by applicable law, the operator does not provide warranties of uninterrupted service, complete capture or successful recovery and is not responsible for indirect or consequential loss arising from use or unavailability of the service.
Nothing in these terms excludes rights or liabilities that applicable law does not allow to be excluded.
8. Privacy and Google services
The Family Email Archive Privacy Policy describes how personal and Google account data is handled and should be read before connecting an account.
Your use of Google services remains subject to Google’s own terms and policies.
These terms do not expand the application’s Google permissions or override Google’s data-use restrictions.
9. Updates and contact
Material changes will be communicated to participating users. Changes that require new data permissions will require appropriate consent.
Questions about these terms or requests concerning your archive should be sent to:
