Family Email Archive — Privacy Policy

Effective date: 20 October 2026

1. About this application

Family Email Archive is a private, invitation-only email backup and search application for its operator and invited close family members. It is administered through davey@onelifecoachingme.com.

It is not offered as a public commercial email service and is not affiliated with or endorsed by Google.

2. Information we access and store

If you connect a Google account, the application requests permission to identify your account and read Gmail messages. Stored information can include:

  • Your email address.

  • Message bodies and attachments.

  • Sender and recipient details, subjects and dates.

  • Message identifiers and labels.

  • Authorization tokens, download progress, search indexes and technical logs needed to operate and troubleshoot the archive.

The application uses read-only Gmail access. It does not request your Google password or use its Gmail authorization to send messages or change or delete messages in your Gmail account.

Downloads normally exclude Spam, Trash, drafts and chats.

3. How information is used

Information is used to retain independent email copies, provide archive search and retrieval, maintain recovery backups, manage account authorization, and operate and secure the application.

Mail content is not sold, rented, used for advertising, or used to train general-purpose artificial intelligence or machine-learning models.

4. Access and disclosure

Access depends on the permissions assigned to archive accounts. The operator and accounts with administrator or auditor permissions have the technical ability to access archived messages, potentially across multiple connected mailboxes. Do not assume that a connected mailbox has a separate private archive inaccessible to the operator.

Technical access does not authorize unrestricted human reading. Apart from your own access, human review is limited to your affirmative permission for the specific messages or data concerned, necessary security investigations, or applicable legal requirements. Connecting an account is not blanket permission for another person to browse its contents.

We do not publicly publish archived mail. Google processes information through its authentication and Gmail services under its own policies.

Any other disclosure or transfer is limited to providing the archive features you have authorized, necessary security purposes, or applicable legal requirements. We do not provide mail data to advertising platforms or data brokers.

5. Storage and security

Messages and supporting data are stored on privately managed servers and network storage.

Gmail API access uses HTTPS. Piler archive copies and encrypted recovery backups provide additional protection. Raw downloaded message files and some operational databases are not necessarily encrypted at rest; they are protected through system and storage access controls.

Authorization credentials are restricted to the operator and the services that need them. No system can guarantee absolute security or availability.

6. Retention and deletion

This application deliberately retains independent copies. Deleting a message in Gmail, disconnecting Gmail access, or removing an account from the backup schedule does not delete previously archived messages.

Archived data and recovery snapshots have no automatic expiry and may be retained indefinitely until removal is requested or the archive is discontinued.

You may request access to, an export of, or deletion of your archived data by contacting the operator.

Deletion is a manual process covering active downloads, archive records, search data and relevant recovery copies, subject to any applicable retention obligation. Recovery copies can contain shared backup sets, so removing data may require removing entire snapshots.

We will explain the scope and any limitations before processing a request and confirm what has been removed. Revoking Google access alone is not a deletion request.

7. Your choices

Participation is voluntary. You may revoke the application’s access at any time through your Google Account connections settings:

https://myaccount.google.com/connections

Revocation stops further authorized downloads but does not remove existing copies. Google may also require renewed consent periodically.

Contact the operator to change archive access or request removal.

8. Google API data commitments

We comply with the Google API Services User Data Policy and its Limited Use requirements when using or transferring Google user data.

The policy is available at:

https://developers.google.com/terms/api-services-user-data-policy

9. Changes and contact

We will update this policy when relevant practices change and inform connected users before materially expanding how their Google data is used.

Questions and data requests should be sent to:
